OAS / Mentor Agreement

 

Purpose 

This Mentoring Agreement was created to ensure Mentors understand the expectations of the Ohio Academy of Science’s Mentoring Program.  

 


Mentor Requirements: 

Agree to adhere to all Ohio Academy of Science Mentoring Program policies and procedures as outlined below: 

  1. Create an atmosphere of openness where meaningful communication and trust can exist by:  
--Being encouraging and supportive.  
--Being patient and flexible.  
--Being respectful of individual differences/abilities.  
  1. Build self-esteem and motivation.  
  1. Help set goals and work toward accomplishing them.  
  1. Agree to commit for the duration of the Ohio Academy of Science Mentoring Pilot Program commencing on October 15, 2024, and ending on February 28, 2025
  1. Attend an initial Mentor Training Session hosted by The Ohio Academy of Science before Mentoring starts. 
  1. Partake in consistent communication using written text exchanges and the sharing of resources within the student project workspace in the ProjectBoard online platform. Access projects through the “My Projects” tab. 
  1. Contact the Ohio Academy of Science with any questions or concerns regarding Mentor/Mentee pairing, the use of the ProjectBoard platform, or any other related issues.  
  1. Be willing to communicate regularly with the Teacher.  
  1. Be at least 19 years old. 
  1. Have experience with research. 
  1. Be interested in working with youth. 
  1. Maintain professionalism in the Mentor/Mentee relationship. (i.e., Not give personal information, personal pictures, etc., out through ProjectBoard or any other method). 
  1. Be willing to undergo a BCI / FBI background check if asked. 
  1. Complete OAS/Mentor Check-in Survey 1x per month.  

 

Mentor / Mentee Communication through ProjectBoard 

All Mentor / Mentee communication will occur through written exchanges and the sharing of resources within the ProjectBoard platform. Mentors can access projects in ProjectBoard in the “My Projects” tab.  

 


Personal Information Sharing: 
The Ohio Academy of Science will share ProjectBoard Mentor registration information with the Teacher including Biography, ProjectBoard username, email address, STEM/entrepreneurship experience, research experience, degree attained, and past mentoring experience. 

 

 

Relationship Termination Clause:   

If any party (Mentor, Student, Teacher, or OAS) finds the Mentoring relationship unproductive and requests that it be terminated, we agree to honor that individual’s decision without blame. 

 

This Mentoring agreement sets forth the expectations to which the Mentor commits with their assigned Mentees. The Mentor agrees to follow the guidelines of this agreement for the period specified and to make a good faith effort to resolve any issues that arise by contacting the Teacher or the Ohio Academy of Science.

Mentor Checklist 

  1. Access the Mentee’s workspace project in ProjectBoard and review their work. 
  1. Address the Mentees' thoughts, concerns, challenges, goals, or experiences with the topic including:  
    --Commenting on what was done well. 
    --Providing suggestions for what could be improved/clarified. 
    --Asking questions that guide the Mentee toward further issues/topics of research.  
    --Providing links to appropriate educational or project-based references including videos, articles, or websites that pertain to the topic if                   applicable. 
  1. Follow the provided timeline or Teacher email for student project check-ins.  
  1. Be willing to communicate regularly with the Teacher.  

 

Ohio Academy of Science Timeline 

 

September:  

  1. Teachers who want to participate must commit by Sept 30, 2024.  
  1. OAS can provide Mentors for up to 10 projects. 2 Mentors per Teacher @ 5 projects/Mentor. 
  1. Teachers will provide school/class information to Mentor. --School name, grade participating, class subject.  
  1. Principal and Teacher signs MOU. 
  1. Teacher training Webinar provided by OAS. 
  1. Students create accounts in ProjectBoard. 
  1. Students become familiar with ProjectBoard. 
  1. Students start projects in the ProjectBoard student workspace templates. 

 

October:  

  1. Mentor Registration opens in ProjectBoard on October 1 - October 25, 2024.  
  1. Mentor agreement signed.  
  1. OAS will schedule 2 Mentor training Webinars per program as needed in mid-October and the last week of October. 
  1. OAS pairs Mentors with Teachers by program type (Ohio STEP or Science Day) and number of Mentors needed per Teacher (up to 10 projects with Mentors). This may mean the Teacher only needs 2 Mentors @ 5 projects each or so. 
  1. OAS sends pairings emails introducing Mentor and Teacher.  
  1. One Mentor per project. (will not have more than one mentor commenting on a project) 
  1. Students are actively working on projects in the ProjectBoard student workspace templates. 
November: 
  1. The teacher receives Mentor biography and contact information from the Ohio Academy of Science. 
  1. Teacher shares the project check-in timeline with Mentors OR emails Mentors when projects can be reviewed and commented on. (Teachers, Students, and Mentors will also receive emails through ProjectBoard when comments have been made on student projects). 
  1. Teacher will add Mentors to student projects using Mentor’s email (used to create PB account) or ProjectBoard username. 
  1. Email Ohio Academy of Science Program Coordinators with project links of students participating in the Mentoring Program. 
  1. The Ohio Academy of Science starts survey check-ins; one per month. Mid November, mid-December, mid-January, and mid-February. 
  1. The Ohio Academy of Science answers Teacher and/or Mentor emails and concerns as needed. 
  1. Students are actively working on projects in the ProjectBoard student workspace templates. 

 

November - February 

  1. Teacher ensures students are completing ProjectBoard section work in the student workspace templates and informs Mentors when to begin checking the projects either via a timeline or email updates. 
  1. Survey check-ins. --One per month. Mid-November, mid-December, mid-January, and mid-February.
